Department overview:
Lead Sales Support teams who support the sales teams, including, but not
limited to; contract generation, contract renewals, renewal processes, usage of
Sales Force, Netsuite, Business Objects and Validating Order and general
administrative support. Responsible for making enhancement recommendations on processes to streamline workflows. Participation in as the Subject Matter Expert on behalf of the Sales Operations/Coordinator team(s). Well versed working in multiple business lines for sales support.
Directly manages the performance of a functional or regional department.
Recommends operational changes that increase efficiencies and / or information
quality and implements solutions. Recommends personnel administrative
changes. Provide sales support for multiple business lines across the assigned
sales teams on behalf of Sales Operations. Leveraging extensive knowledge
related to departments and functions to discern gaps and devising solutions.
Duties & accountabilities
Responsible for providing support and administrative coordination on the sales/renewal
process for Sales teams, including Sales leadership.
Overseas renewal OPIS contracts, ensuring that retention goals are met
Lead team in sales coordinator and sales operations duties, which include:
o Discussing and explaining contractual guidelines of OPIS and McCloskey products
with account managers, finance, product managers, product delivery, sales
operations in an accurate and organized manner.
o Assist in preparation and distribution for client legal agreements, attachments,
proposals, purchase orders and business correspondence as required.
o Process signed and executed renewal contracts in Netsuite and liaise with
operations.

o Process product or service cancellations. Create cancellation forms and route to
appropriate internal product group or accounting for processing.
o Responsible for researching and resolution of product delivery and invoicing
challenges on behalf of the customer/account manager.
o Submit to OV the accurate client data information (edits/changes for address and or
contact) for uploading into billing management system.
o Prepare and distribute for client legal agreements, attachments, proposals,
purchase orders and business correspondence as required.
Proactive on discerning gaps and process issues identifying problems and providing
resolution on problematic orders.
Must be proficient in process creation and training in areas of multiple business lines for
product licensing and contract generation procedures. Process flows, Methods and
Procedures, other training documentation.
Document changes in procedures, directly train and mentor Sales Coordinator colleagues.
Other sales operation job duties as they arise.
Business competencies/Education and experience
Sales Operations experience required.
Proficient in supporting and processing contracts for OPIS business lines.
Proficient in Netsuite, Power BI, Salesforce, Business Objects and CRM.
10+ years experience in the sales organization working specifically with OPIS
software/data contracts.
Proficient working knowledge in all MS Office applications.
Advanced Excel experience inclusive of Pivot table and customized spreadsheet
creation.
Must be able to take initiative and make decisions.
Ability to analyze, problem solve and balance competing priorities.
Highly organized and capable of effectively prioritizing tasks.
Previous experience working with a CRM application.
Excellent written and verbal communication skills.
Previous experience in supporting multiple colleagues.
Experience with process creation and training in the areas of business lines product
licensing procedures.
